Terms of service
These terms govern your use of the Lydiate Ash Sports website, including the public pages, the parent portal, and the manager panel. By accessing or using any part of this website you agree to be bound by these terms. If you do not agree, please do not use the site.
1. Who we are
Lydiate Ash Sports is a community sports club based in the Rubery and B45 area. We are not a company and we do not operate commercially. This website is provided as a service to our members, parents, and the local community.
2. Which section applies to you
The website has three distinct areas. Different rules apply depending on which part you are using.
| Area | Who can access it | What it is for |
|---|---|---|
| Public website Home, Club life, News, About, Contact |
Anyone | Information about the club — sessions, news, sponsors, and how to get in touch |
| Parent portal | Registered parents and guardians approved by the club | Managing your child's registration, giving consents, and submitting session RSVPs |
| Manager panel | Authorised club staff only | Publishing sessions, news, and sponsors; managing parent and staff accounts |
3. The public website
The public pages are available to anyone and are provided for information purposes only. We make reasonable efforts to keep content accurate and up to date, but we do not warrant that it is complete, error-free, or current at all times. Information about training sessions, fixtures, and club activities is subject to change at short notice.
Links to external websites — including FA Full-Time and social media platforms — are provided for convenience. We are not responsible for the content, accuracy, or privacy practices of external sites, and linking to them does not imply endorsement.
4. The parent portal
The parent portal is available to parents and guardians who have registered and been approved by the club. By creating an account you agree to the following.
Eligibility
You must be a parent or legal guardian of a child who is registered with, or seeking to register with, Lydiate Ash Sports. Accounts must not be created on behalf of another adult without their explicit authorisation. If you are no longer the responsible parent or guardian for a child registered under your account, please contact us so the records can be updated.
Accuracy of information
You are responsible for providing accurate and truthful information about yourself and your child. If any information changes — for example your email address or your child's name — please update it or contact us promptly. The club may verify and update registration information as part of its normal administration.
Account security
You are responsible for keeping your password secure and for all activity that takes place under your account. Do not share your login credentials with anyone. If you believe your account has been accessed without your authorisation, please contact us immediately via the contact form so the account can be secured.
One account per parent
Please register only one account per email address. If you have difficulty signing in or need to change the email address associated with your account, contact us rather than creating a duplicate. Duplicate accounts may be removed.
5. RSVPs and session attendance
The RSVP feature lets you indicate whether your child is likely to attend a published session. RSVPs are for planning purposes only — they do not constitute a binding commitment by either you or the club, and they do not guarantee your child a place where a session is capacity-limited.
The club reserves the right to cancel, reschedule, or modify any session at any time. We will endeavour to give reasonable notice where possible. You will receive a confirmation email when you RSVP with a "Yes" response, including a calendar file you can save to your device.
6. Photos and videos
During registration you are asked whether you consent to publication of photos and videos in which your child is identifiable. The table below summarises what this means in practice.
| Your consent choice | What the club can do |
|---|---|
| Consent given | The club may publish photos and videos in which your child is identifiable on this website and its social media channels, subject to committee approval |
| No consent given | No photos or videos in which your child is identifiable will be published |
| Consent withdrawn | No new material will be published. We will take reasonable steps to remove previously published material, though complete removal from third-party platforms may not always be possible |
To give or withdraw consent after registration, please contact us via the contact form. The club will never publish identifiable images of a child without a consent record being on file.
7. The manager panel
Staff responsibilities
The manager panel is restricted to authorised club staff only. Access is granted by a club manager. Staff are responsible for using the panel appropriately and solely for club-related purposes — including publishing accurate session information, handling parent and child records with care, and keeping login credentials confidential. Accounts must not be shared between individuals.
When staff leave the club
When a member of staff leaves the club or no longer requires access, their account must be removed promptly. Club managers are responsible for carrying this out. If you are aware that a former staff member still has active access, please contact us immediately.
8. Acceptable use
These rules apply to all users of the website, regardless of which area they are accessing. You agree not to:
- Use the website or any of its features for any unlawful purpose
- Attempt to gain unauthorised access to any part of the site, its servers, or associated systems
- Submit false, misleading, or harmful content through the contact form or parent portal
- Harvest, scrape, or systematically extract data from the site using automated tools
- Interfere with the operation of the site or attempt to circumvent its security measures
- Impersonate another person or misrepresent your relationship with the club
The club reserves the right to suspend or permanently remove access for any user who breaches these terms, without prior notice where the breach is serious.
9. Our content
All content on this website — including text, images, schedules, and news posts — is provided by Lydiate Ash Sports and remains our property, or is used with appropriate permission. You may not reproduce, distribute, or republish our content without our prior written consent, except for personal, non-commercial use such as saving a calendar file or printing a page for your own reference.
